Core WMS features
A warehouse management system (WMS) controls the movement and storage of goods from the moment they arrive until they leave. The core operational cycle comprises five functions, and a system that handles all of them well will transform your warehouse efficiency.
Receiving. The system should record inbound shipments against purchase orders, generate receiving reports and flag discrepancies immediately. Look for support for advanced shipping notices (ASNs) so you know what is arriving before the truck pulls up.
Putaway. Once goods are received, the WMS should direct staff to the correct storage location based on product dimensions, velocity and expiry dates. Systems that calculate the optimal putaway path reduce travel time by up to 30%.
Picking. The most labour-intensive warehouse activity. Evaluate whether the system supports wave picking, zone picking, batch picking and order-level picking. The right method depends on your order profile and volume.
Packing. The WMS should integrate with weighing scales and label printers, suggest the correct box size and verify that the right items are in each shipment before it is sealed.
Shipping. Generate shipping labels, update tracking numbers and trigger customer notifications automatically. Integration with major carriers — Aramex, DHL, FedEx — should be built in, not bolted on.
Inventory management capabilities
Beyond the core flow, look for inventory features that give you real-time visibility and control. Real-time stock levels updated with every transaction prevent overselling and stockouts. Cycle counting lets you verify inventory accuracy without shutting down the warehouse.
Lot and serial number tracking is essential for businesses in food, pharmaceuticals or electronics where traceability is a regulatory or warranty requirement. A good WMS also handles multi-location inventory, so you can see stock across multiple warehouses or even across fulfilment centres in Bahrain, the UAE and Saudi Arabia on a single dashboard.
Inventory accuracy should be a measurable output of the system. Most WMS platforms target 99% or better when barcode scanning is used consistently.
Integration with ERP and accounting
A WMS that cannot talk to your ERP or accounting software creates a manual data-entry bottleneck that defeats the purpose of automation. The integration should synchronise inventory quantities, orders and shipments in near real time.
Check whether the integration is native (the two systems are built to work together) or requires middleware. Middleware adds cost and another point of failure. Also verify that the integration handles returns and adjustments, not just outbound orders.
If you are running a cloud ERP such as Odoo, SAP Business One or Microsoft Dynamics, most modern WMS platforms offer pre-built connectors. For custom or legacy systems, you will need an API-first WMS and a development partner who understands both sides of the integration.
Reporting and analytics
Reports turn operational data into management decisions. A capable WMS should give you standard reports on pick accuracy, order cycle time, labour productivity and storage utilisation without requiring a developer to build them.
Dashboards that show key metrics at a glance — orders picked per hour, active pickers, backorders — are useful for floor supervisors. For strategic planning, look for trend analysis and the ability to export data to a business intelligence tool.
Mobile and barcode support
If your warehouse runs on paper lists and manual data entry, you are paying for errors in every transaction. A WMS with mobile support lets staff scan barcodes using handheld terminals or ruggedised tablets at every step.
Barcode scanning at receiving confirms you are putting away the right product. Scanning during picking eliminates the most common error — picking the wrong variant. Scanning at dispatch ensures the customer gets exactly what they ordered. The investment in hardware pays for itself in error reduction within weeks.
Some systems now support voice-directed picking, which further increases speed by freeing the operator's hands and eyes. It is worth evaluating for high-volume operations.
Implementation considerations
Choosing the right features matters little if the implementation is poorly managed. The first decision is cloud versus on-premise. Cloud WMS is faster to deploy, cheaper to start and easier to update. On-premise offers full data control and predictable performance but requires IT staff to maintain the infrastructure.
Data migration is the riskiest phase. Clean your master data — product codes, locations, supplier details — before you migrate. Garbage in, garbage out applies to WMS more than almost any other system.
Staff training is frequently underestimated. A modern WMS changes how people work, and that takes time to adopt. Make sure the vendor provides on-site training and that you budget for a period of parallel running before going fully live.
